Administration
 
  • Maintain and respond to homeowners and provide services to them in a timely manner on a 24 hour basis, 7 days a week.
  • Provide a 24 hour answering service.
  • Have available qualified workman to handle maintenance and repair.
  • Maintain liaison between owner, resident manager (where applicable), tenants and workmen/contractors.
  • Obtain HOA insurance coverage at best available rates.
  • Review cost cutting ideas, including energy saving methods.
  • Review contracts and contractors for optimum cost effectiveness.
  • Order preventative maintenance work.
  • CC&R, by-laws and Rules Enforcement.
  • Recommend outside Professional Services, e.g., Attorneys, C.P.A., Engineers, Architects, etc.
  • Recommend and engage contractors and maintenance from an extensive list.
  • Attend monthly Board of Directors meetings and generate minutes.
  • Provide monthly phone log of complaints and concerns from homeowners (written or verbal) and a status/resolution of these, and outstanding problems.
  • Preparation for and attendance at Annual Homeowners election meeting.

Financial and Accounting
 
  • Develop an operating budget.
  • Aid in preparation of annual Reserve Study.
  • Billing, collection, and posting of monthly assessments and special assessments.
  • Pay all invoices.
  • Keep income and expense records.
  • Compare income and expenses with budget and recommend corrections as required.
  • Prepare monthly financial reports.
  • Maintain Association monies in separate trust accounts in a Federally insured Banking or Savings institution.
  • Advise in the preparation and collection of delinquent accounts on an ongoing basis.
  • Cooperate with the Association's C.P.A. in the preparation of tax returns and fiscal year end financial reports.
  • File and/or cooperate in filing of unemployment insurance, workmen's compensation insurance, disability, and Federal 1099/1096 forms.

Field Supervision
 
  • Inspect condition of facilities and provide written managing agents report to the Board of Directors.
  • Recommend capital and maintenance improvements to the Board of Directors.
  • Evaluate outside vendor services and contractors.
  • Ensure contractors meet all necessary insurance and financial requirements.
  • Manage preventative maintenance projects.
  • Obtain 24 hour emergency maintenance.
  • Train, educate and supervise Resident Manager (where applicable).
  • Follow-up on contractual work as required.
  • Investigate energy reductions measures.
  • SBA and Defect Reconstruction oversight.
